IABC India Board: Roles & Responsibilities

The IABC India Board comprises the following positions. Here we have listed the duties and responsibilities of each of these Board members:

Board Member Duties & Responsibilities

President:

• Primary spokesperson and community representative – Serves as the representative to the broader community regarding the chapter, accreditation and the association.
• Primary liaison to the region and international leadership and staff – Maintains contact, connects other board members to resources, attends region meetings (or appoints delegates), voting on region issues, giving feedback from chapter members, ensures compliance with IABC’s mission, brand and direction.
• Presiding leader of the chapter – Leads board planning and meetings, sets expectations of other board members, oversee board activities, keeps board members informed and provides resources, listens to member concerns, recruits volunteers, identifies and creates development opportunities for board members.
• Primary fiscal authority – Monitors use and accounting of chapter monies and resources.
• Ensure structure and governance of chapter – Builds awareness among leaders of IABC policies, procedures, and deadlines as appropriate.

Vice President:

• Leads planning activities and strategy development for the Chapter.
• Secondary spokesperson and Chapter representative – Serves as backup representative to the member community.
• Secondary leader of the Chapter – Leads board activities as requested by President or in his/her absence, recruits volunteers for committees, provides counsel and support to President.
• Serves on the Nominating Committee – Assists in the recruitment and election of committee members and chapter leaders.
• Serve on the Finance Committee – Ensure that all monies are managed responsibly and with the best interest of all members in mind.
• Succession planning – Arrange orientation and strategic planning sessions for the upcoming board transition.

Communication Director:

• Creates and manages Chapter communication calendar – Collaborates with the India Board and members to develop and implement a communication schedule, amplifying existing global and regional communication and campaigns where possible, and ensuring Chapter efforts are integrated and complementary.
• Creates, manages and evaluates content and activities – Collaborates with board members to survey members on success of communication efforts and conduct other measurement where appropriate, using insights to inform content development and activities.
• Coordinates all formal communication to members and prospects – Collaborates with board members to incorporate messaging, produce materials and content, and distribute; ensuring content reflects brand guidelines and communication standards.
• Oversees community relations – Coordinates activities to reach prospective members and create greater awareness of IABC benefits. May include proactive communication and other outreach activities.
• Maintains website and social media channels – Manages all official communication channels, marketing messages and periodical outreach through newsletters / social media.  

Finance Director:

• Coordinates preparation and management of budget – Provides budget materials and counsel to other board members, monitors and advises on budget periodically.
• Manages Chapter financial accounts – Maintains accounts, monitors account records and documentation, pays invoices/bills, manages board member reimbursement, responsible for handling of funds generated through Chapter events/activities, provides Chapter financial reporting.
• Manages Chapter finance policy – Coordinates review and development of policy related to financial processes, saving and spending.
• Leads Chapter finance program – Supports chapters to maintain accurate financial records; identifies ways to improve financial management across the Chapter.
• Coordinates year-end reporting – Prepares year-end reporting for tax and IABC International.

Membership Director:

• Creates and manages new member recruitment plan – Leads planning and implementation of efforts to bring in new members, including follow through with prospects, growth and upkeep of prospect list.
• Creates and manages member retention plan – Leads planning and implementation of efforts to retain members, welcomes new members (via phone, email, in person), follows through with lapsed members and managing marketing messaging to members, receives and reviews monthly rebate report from IABC International.
• Coordinates planning and implementation of member recruiting/networking events – Prepares plans, assigns tasks, oversees implementation, including message development and logistics requirements.
• Coordinates planning and implementation of event hospitality activity along with Programs Director – Prepares plans, assigns tasks and oversee implementation of hospitality activities to welcome members and guests to events.
• Creates, manages and communicates new and existing member benefits – Collaborates with other board members to plan, implement and communicate new benefits.
• Maintains member budget, records and materials – Manages member records and provides reports, manages member marketing messages, prepares and manages budget for the membership function.
• Conducts membership research – Leads implementation of member / lapsed member survey / focus groups / interviews to determine member needs, interests, concerns and ideas.

Certification Director:

• Lead the growth of the Global Communication Certification Committee (GCCC) certification program in the Chapter - Leads planning and implementation of certification program for the year, liaising with chapters to ensure IABC India is able to promote local exam dates and highlight achievements.
• Create opportunities for certification for members and non-members in the Chapter – Draw on member insights and industry research to create messaging and content that attracts and engages certification participants.
• Liaise with GCCC to help enable chapters and individuals with certification – Advocate for certification to be considered as a key benefit in all strategy and program development.
• Develop certification marketing and communication programs for the Chapter – Draw on independent member insights provided by other directors to develop activities and positioning to appeal to the needs and interests of the various India member demographics.
• Maintains budget, records and materials – Manages records; provides reports and marketing messages to communications; and prepares and manages budget for the portfolio.

Program Director:

• Plans and implements events and activities – Uses member insights and other research to identify topics, plan bi-monthly events, recruit / negotiate / manage / thank speakers, and liaise with chapters to ensure efforts are complementary.
• Measures and evaluates events and activities – Initiates member surveys/polls to identify areas of interest among members; evaluates events and other activities and communicates results and insights to board members.
• Manage events – Hosts events, introduce speakers, manage Q&A and thanks speakers and attendees. May include organizing speaker gifts.
• Coordinates planning and implementation of event hospitality activity along with Membership Director – Prepares plans, assigns tasks and oversee implementation of hospitality activities to welcome members and guests to events.
• Maintains budget, records and materials – Manages records; provides reports and marketing messages to communications; and prepares and manages budget for the portfolio.

Immediate Past President:

• Coordinator of special projects.
• Secondary liaison to the region and international leadership and staff –Attends meetings, voting on region issues, backup to President.
• Chapter counsel/consultant – Provides counsel and support to President and other board members.  Provides onboarding and training to the new President.
• Recruits and chairs Nominating Committee and chairs Chapter Management Awards Committee.
• Coordinates review/documentation of Chapter’s activities for the year – Including, but not limited to, updating role descriptions, updating strategic plan, documenting committee activity, reviewing sponsorship materials, drafting annual report.

Additional Directors may be added when and if appropriate to carry out the work of the Chapter.
